Step 1

*Do not touch Column B or add a job number manually

Leave Column B blank; this is where your automatically generated job number will appear.

Step 2: Choose Client from Column D

In column D, choose the client company from the drop down list. If it is not in the drop down list, speak to Alex about adding it.

You will see that a job number is automatically generated in Job Number column B.

H – stands for Health

3 letters eg. NOV – tells you which client

3 numbers eg. 201 – is an agency wide job number

 

Step 3: Add Project name in Column C

Be as descriptive as you can with the Project Name so that there is no confusion. For CLMs etc where you may create multiple iterations over time, you will want to add a version descriptor e.g. CLM 1.0 +/- the year and cycle so you can find it again easily later.

Step 4: Add the Product name in Column E

This helps us to identify which product the job is associated with, as our job numbers are company level, not product level.

Step 5: Add your client Contact in Column F

Tell us the name of the project originator at the client’s end, the person to whom estimates and invoices will be directed.

 

Step 6: Add the appropriate name to Account Man in column G

If you are the account manager for the project, add your own name. If not, add the name of the person who is.

 

Step 7: Tell us about the Project status in Column H

Choose the most appropriate option from the drop down box.

Step 8: Create your job folder on the server using the new number

Copy and paste the project folder and rename it per the file server protocol with your new job number.

 

Step 9: Add your new job number to the appropriate client WIP report

 

Trouble shooting

●      If you can’t access to the sheet, ask Alex McCarthy (alex@swordfishhealth.com.au) to set you up

●      If you run out of numbers, ask Rob Scott (rob@swordfishmedia.com.au) to add more to the list

●      If you can’t find the client company in the drop down, ask alex@swordfishhealth.com.au to add it

●      If you delete someone else’s job, ask rob@swordfishmedia.com.au to help you roll back to a previous version
